PRIVACY POLICY

Clovelly Splash is committed to the protection of customer’s privacy and personal information. Your privacy is protected under the Privacy and Personal Information Protection Act 1998. Personal information may only be disclosed in accordance with the exemptions provided under the Act.

We will only use the personal details required on this form for administration purposes related to the facility or service for which it is being completed and when we communicate information to you regarding any of Clovelly Splash’s facilities, programs, services or promotions that are deemed appropriate to your interests and needs and which may enhance your use of Clovelly Splash. We will not make this information available to any third party unless it is necessary as part of the provision of this product or service. By signing this form you are providing us with consent to use the personal details for such purposes.

MAKE UP LESSON POLICY

Cancellations due to unavailability will be accepted by notification, provided 5 hours prior to your lesson using your parent portal. We offer unlimited cancellation, but we can not guarantee that you will be able to make up all your cancelled classes, as booking make up class availability depends on other clients’ cancellations.

Make-up lessons must be arranged and take place before the term is complete. Make-up lessons are unable to be carried over to the next swimming term. 

It is your responsibly to organise the make up class.

WHAT HAPPENS IF MY CHILDREN ARE SICK?

It is your responsibly to organise the make up class. If you cancel your booked make up class you will not be able to get an other one.

CANCELLATION POLICY

If you request to cancel your term enrolment once payment has been made, Clovelly Splash Swim School does NOT give refunds under any circumstances.

Credits are only considered for students who have incurred the following:

Major Illnesses or hospitalisation.

Credits will not be granted for holidays.

Credits will only be considered for  maximum 2  consecutive absences from lessons.

To apply for credit:

You need to provide a Doctors Certificate.

Once your credit has been approved, an email will be sent outlining the amount of credit the swim school is holding.

Credit – will remain on file for up to the upcoming term.

Please note: In the event of missed or cancelled lessons, refunds will not be granted.

TEACHER CHANGES

We strive to maintain consistency with instructors, although this is not always possible. Clovelly Splash reserves the right to cancel or change classes and instructors or move students if needed. By law all instructors working at Clovelly Splash are fully qualified in swim teaching, and undergo regular training days to improve and maintain their high level of teaching standards. Please note refunds will not be given as a result of  teacher changes.

RE-ENROLMENT of current and new clients PROCEDURES

Term enrolments are automatically carried over at the start of week 7 of each term unless a customer notifies Clovelly splash swim school that they wish to cancel. Customers receive an email at end of week 6 about next term booking and payment information. Clovelly splash sends reminder 24 hours before direct debit date (Monday of week 8). During this time customers must notify Clovelly splash swim by email if they do not want to continue the following term (by end of week 7) or if they want to change days/times of their swim class. Classes are not scheduled on Public Holidays and are not included in term fees.

Swim classes are offered as 9–11-week programs in line with school terms or one week holiday intensive programs during the school holidays. There are four 9-11 week programs per calendar year aligned with the NSW public school term dates.

Mid-term enrolments are welcome, subject to availability. Pro rata fees will be charged based on number of weeks remaining of the term and then continue as a normal enrolment. New clients will be allocated in the timetable from week 9 in each term.

APPROVED SWIMWEAR

We do not allow children to swim if they are wearing only a disposable swim nappy, as these do not effectively contain any accidents that may occur, and are not adequate in containing leaks. Babies and toddlers under 3 years old must wear a “Happy Nappy” swim nappy for their lessons over their disposable swim nappy.

KEEP THE NOISE TO MINIMUM 

If you arrive more than 10 min prior you class please make sure your child waits in the waiting area. If you have two consecutive classes please make sure the child who needs to stay in the waiting area.
While you are waiting for the class please try to keep your child seated, if that is too difficult please come back in 5 min prior your class. Running kids inside the pool area can be disturbing for the teachers and kids in the pool. Please keep noise to minimum: no yelling and unnecessary conversation on phone. During the swimming class of your child please stay inside the waiting room unless the teacher needs parent assistant.

CHANGE OVER FROM ONE CLASS TO THE NEXT

Parents are not allowed to come more that 10 min prior to the swimming class. Please consider getting change before and after the class as quick as possible to minimise noise and number of people in waiting room, as the consideration of our neighbours are our high priority.

KEEP WATCH

Pool attendants are not babysitters.

You are responsible for your child at all times, be prepared to get wet.

Children will not be allowed entry unless active supervision of a person 16 years or over.

HEALTHY SWIMMING

Steps to healthy swimming recommended by NSW Department of Health:

Please cancel your child’s lesson if they have gastric, or skin conditions which are current.

Please let us know if your child has any medical history or learning difficulties.

PAYMENTS

An enrolment is confirmed once full payment of the activity fee is received. Participants will not be allowed to take part in classes until Clovelly splash has received full payment of the term fee. All payments are made by direct debit. Credit card or bank account information is stored in encoded format in accordance with Clovelly splash’s Data Protection Policy. During term enrolment rollover in Week 7, payments are automatically deducted via direct debit on Monday of week 8, unless cancelled (see terms under Current Enrolments). It is the customer’s responsibility to have sufficient cleared funds available in their account to cover the payment of fees, including at term rollover. The customer may be liable for dishonour fees if their financial institution returns a debit item unpaid.  All payment details are managed by the customer using the customer portal. If customer direct debit information changes, the customer must update their payment details via the customer portal. f a customer wants to dispute a debit item, they can contact their financial institution and/or Clovelly splash. Clovelly splash will attempt to resolve the dispute within five business days. The customer will be liable for any chargeback fee if the disputed item is found to have been a valid debit.Clovelly Splash does not offer refund after payment under any circumstances.

PLAY BY THE RULES

With Payment you accept our rules:

1. Come only 5min prior class to avoid unnecessary waiting.
2. Swim&Go.
3. Long hair must be tight up to avoid getting hair in the student’s face during class, swim cap is highly recommended.
3. Band Aids, must be removed before the start of the lesson if your child is wearing one and it looks as though it may come off in the pool.
4. No food/eating in the swim school to keep high hygiene.
5. For your own safety and the safety of others, please do not attend if you are exhibiting any symptoms of a cold or flu, or unwell in any way.
7. No pets.
8. Respectful behaviour towards our team.
9. Babies and toddlers under 3 years old must wear a “Happy Nappy” swim nappy for their lessons over their disposable swim nappy.
10. Please close the gate at all TIMES!
11. Please place your rubbish/nappy into the white big bin.
12. Please check you have your belongings before leaving.
